Making the Complicated Feel Simple
The Challenge
The American Foundry Society came to One World with a complex set of requirements for their annual congress. From managing hundreds of peer-review papers with a multi-tiered review process and coordinating presenters to organizing multiple sessions, breakout rooms, presentations, and last-minute changes, the project required much more than an off-the-shelf product.
AFS needed a partner who could bring all the moving pieces together, keep the process organized, and ensure that the experience was seamless for the organizers, faculty, and attendees.
That’s where OW came in.
The Approach
At OW, we believe technology should not get in the way of the people and relationships that make an event successful.
We worked closely with AFS to understand their processes, requirements, and expectations. Then we built a coordinated workflow that managed the journey from peer-review paper collection and organization, through scheduling and session coordination, all the way to the delivery of presentations in the breakout rooms.
Every stage required attention to detail. Papers had to be collected, tracked, reviewed, organized, and matched to the appropriate sessions. Presenters and sessions needed to be coordinated, information had to remain accurate and accessible, and the technology had to work when it mattered most.
Behind the scenes, OW connected the people, processes, and technology to keep everything moving.

The real challenge wasn’t any one individual task—it was making hundreds of interconnected tasks work together as one cohesive experience.
When conference day arrived, the preparation paid off.
Presentations were organized and delivered in the appropriate breakout rooms. Attendees could focus on the content and experience rather than the logistics happening behind the scenes.
What looked simple to attendees was the result of extensive planning, coordination, technology, and teamwork behind the scenes.
